Hanami Interiors operates the Hanami Objects online store (referred to in this policy as “Hanami”, “we”, “us” or “our”). This Privacy Policy explains which personal data we collect, why we use it, with whom we share it and which rights you have when you visit our website, place an order, create an account, subscribe to our newsletter or contact us.

Hanami Interiors is the controller for the personal data described in this policy. Our store is hosted by Shopify, which processes certain data on our behalf and, for some Shopify services, as an independent controller.

Personal data we collect

Depending on how you interact with our store, we may collect the following personal data:

  • Contact and delivery details: your name, email address, telephone number, billing address and shipping address.
  • Order information: the products you order, order value, discounts, delivery method, returns, refunds and related correspondence.
  • Payment information: transaction status, payment method and limited payment details supplied to us by Shopify or the payment provider. We do not normally receive or store your complete payment card number.
  • Account information: your customer account identifier, profile details, saved addresses and account preferences.
  • Communications: information you provide when you contact us, submit a form, request support or make a complaint.
  • Newsletter information: your email address, subscription status and, where available, information about the delivery and use of our emails.
  • Technical and usage data: IP address, device and browser information, cookie identifiers, approximate location, pages viewed, actions taken on the website and information used to protect the store against fraud and misuse.
  • Preferences: your language, region and cookie or marketing choices.

We do not ask you to provide special categories of personal data, such as health information, biometric data or information about religious or political beliefs. Please do not include such information in free-text fields or messages to us.

How we collect personal data

We collect personal data:

  • directly from you when you browse the store, place an order, create or use an account, subscribe to the newsletter or contact us;
  • automatically through cookies, pixels, log files and similar technologies when you use the website;
  • from Shopify and the service providers that help us process payments, prevent fraud, deliver orders, operate the website and provide customer service;
  • from delivery partners when they provide tracking or delivery-status information.

Why we use your personal data

We process personal data only when we have a valid legal basis:

  • To perform our contract with you: to process payment, fulfil and deliver your order, administer your account, communicate about an order and handle returns, refunds or customer-service requests.
  • To comply with legal obligations: to maintain financial and tax records, meet consumer-law obligations, respond to lawful requests and comply with other duties imposed on us.
  • With your consent: to send our newsletter and to use non-essential cookies or similar technologies where consent is required. You may withdraw consent at any time.
  • For our legitimate interests: to keep the store secure, prevent fraud and misuse, improve our website and service, understand store performance, maintain business records and establish, exercise or defend legal claims. We consider your interests and rights before relying on this basis.

We do not use solely automated decision-making that produces legal effects or similarly significantly affects you. Automated fraud or security signals may be used to help us review transactions and protect the store.

Newsletter and marketing

We send our newsletter only when you have subscribed or another lawful basis applies. Our newsletter is intended to let you know when new cushions or curated sets are added. You can unsubscribe at any time by using the unsubscribe link in an email or by contacting us at info@hanamiinteriors.nl. Unsubscribing from marketing does not prevent us from sending necessary service messages about your account or orders.

Cookies and similar technologies

We and our service providers, including Shopify, use cookies and similar technologies to operate the store, remember preferences, secure checkout, measure performance and, where enabled and permitted, personalise content or advertising.

Strictly necessary cookies are used because they are required for functions such as the shopping cart, checkout, security and account access. We ask for consent before using non-essential analytics, personalisation or advertising technologies where the law requires it. You can accept, refuse or change these choices through the cookie banner or the Cookie preferences link in the website footer. Withdrawing consent does not affect processing that took place before the withdrawal.

The available cookie settings provide further information about the categories in use. If we install a third-party app or pixel, we will configure it to respect the applicable consent choices.

Who receives your personal data

We disclose personal data only where necessary and may share it with:

  • Shopify: our ecommerce and hosting platform, including checkout, customer accounts, store security and analytics.
  • Payment providers: to authorise and process payments, refunds and fraud checks.
  • Shipping and fulfilment providers: including Sendcloud and the selected carriers, such as PostNL, DHL or DPD, so they can prepare, transport and deliver your order.
  • Technology and communication providers: providers of website applications, hosting, email, newsletter, analytics, security and customer-support services that we actually use.
  • Professional advisers: such as accountants, legal advisers, insurers or auditors where reasonably necessary.
  • Public authorities or other parties: where disclosure is required by law, needed to protect rights or safety, or necessary in connection with a legal claim or business transfer.

Service providers acting on our behalf may use personal data only for the agreed services and must protect it in accordance with their contractual and legal obligations. We do not sell your personal data.

Shopify

Shopify processes information about your access to and use of the store to provide its platform and consumer services. In some circumstances, including certain enhanced or personalised Shopify services, Shopify determines independently how it processes personal data. International transfers

Shopify and some other service providers may process or store personal data outside the European Economic Area. When personal data is transferred to a country without an adequacy decision, we rely on an appropriate transfer mechanism, such as the European Commission's Standard Contractual Clauses, together with supplementary safeguards where required. How long we retain personal data

We retain personal data no longer than necessary for the purpose for which it was collected:

  • Orders and financial administration: generally 7 years to meet Dutch tax and accounting obligations. Records covered by an applicable EU One Stop Shop or Import One Stop Shop obligation may be retained for 10 years.
  • Customer-service, return and complaint records: normally up to 2 years after the matter is resolved, unless the information forms part of a legally retained order record or is needed for a dispute or legal claim.
  • Customer accounts: while the account remains active and afterwards only for as long as necessary for legal, security or record-keeping purposes.
  • Newsletter data: until you unsubscribe or we discontinue the newsletter. We may retain a minimal suppression record afterwards so that we can respect your opt-out.
  • Security and fraud information: normally up to 12 months, or longer where an incident, investigation, dispute or legal obligation requires it.
  • Cookies and similar identifiers: for the period stated in the applicable cookie settings or until you withdraw consent, where relevant.

We may retain information for longer where this is required by law, necessary to establish or defend a legal claim or needed to investigate fraud or a security incident. When information is no longer needed, we delete or anonymise it.

Security

We take reasonable technical and organisational measures to protect personal data against loss, misuse, unauthorised access, alteration or disclosure. However, no method of transmission or storage is completely secure. Please do not send sensitive information through unsecured channels and keep your account access details confidential.

Your privacy rights

Subject to the conditions and exceptions in applicable law, you may have the right to:

  • request access to and a copy of your personal data;
  • have inaccurate or incomplete personal data corrected;
  • request deletion of personal data;
  • request restriction of processing;
  • receive certain personal data in a structured, commonly used and machine-readable format, or have it transmitted to another controller;
  • object to processing based on legitimate interests and object at any time to direct marketing;
  • withdraw consent at any time where processing is based on consent;
  • lodge a complaint with a competent data protection authority.

To exercise a right, email info@hanamiinteriors.nl. We may ask for information needed to verify your identity and protect your data. We normally respond within one month. In complex cases, the law may allow us to extend this period after informing you. These rights are not absolute; for example, we may need to retain information to comply with a legal obligation.

Complaints

If you have a concern about how we use personal data, please contact us first so that we can try to resolve it. You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) or another competent supervisory authority. Children

Our store is not directed at children and we do not knowingly collect personal data from children who are unable to provide valid consent under applicable law. If you believe that a child has provided personal data to us without the required permission, please contact us so that we can assess and, where appropriate, delete it.

Third-party links

Our website may link to websites or services operated by other organisations. Their own privacy notices apply when you use those services. We are not responsible for the privacy practices or content of third-party websites.

Changes to this policy

We may update this Privacy Policy when our practices, services or legal obligations change. The revised version will be published on this website with a new “Last updated” date. We will provide additional notice where required by law.
